1.       Send out email and advise that Annual Report items are due by the date set.  Remind Managers (include on Management Team Agenda)

2.       Set up the document so you can just include information as received. 

3.       Ask for updated photos from each area

4.       Organise the Agenda for the evening.  Short version for the Annual Report and a detailed version for the Chairperson/CEO.

5.       Arrange for the document to be proof read by CEO and that the CEO has approved it.  Allow a week for this process.

6.       Make sure the document is okay and then organise to have it printed or print yourself.  Front page can be printed on thicker paper but make sure it is A4 - 110gsm or thinner as it won’t go through Kyeema’s printers.

7.       Make sure you have time to bind the document and with the appropriate binders and hard back sheet (A4 250gsm).

8.       Print them off and bind with around 60-70 copies and place agenda in each copy together with a list of changes to the Rules of Incorporation (if any).
