Count cash in safe. It must balance with the details logged in each day in the cash book.
Compile EFTPOS receipts in date order:
•Merchant copy
•Settlement copy
These must also balance with what is recorded in the cash book.
Tally up the EFTPOS receipt and the cash, making sure it all Balances. Fill out a Weekly Summary of Sales SWF-04.
Take the black invoice book and fill out one for the cash sales and a separate one for the EFTPOS sales. These should match up with QuickBooks.
On the computer using QuickBooks - open up and make an invoice for the cash and one for the EFTPOS print a copy for the Finance Manager
Then make out a payment for each of them. Then do a “Make a deposit” and print this out for the Finance Manager.
You take a copy of the Cash Book and attach this to all the paperwork and cash, invoices etc then forward it to the Finance Manager at Kyeema in Lalor Street.
Cheques:
Cheques for cash sales are included in with Cash Sales
Cheques for payment of accounts are recorded separately.
Seawinds weekly takings are delivered to Finance Manager at the Lalor St office each week.
Banking bag should contain:
Cash
Cash Sales invoice
EFTPOS receipts
EFTPOS invoice
Any other paid invoices
Cheques- invoice # on back of cheques
Completed Weekly summary of sales form
EFTPOS - Standalone Mode
Standalone mode is used when there is no power so you can still process transactions. The EFTPOS machine has a battery life of a few hours. The procedure needs to be reversed when the power comes back on. Be aware that sometimes there can be connectivity problems after this and Westpac merchant services are great to deal with and will walk you through the procedure easily. You will also need to have handy The Merchant ID number or MID: 26434928 and the Terminal ID or TID: 73478720 and the company name: Seawinds Nursery.
Remove the EFTPOS machine from the base.
•Press the function key.
•Type in 11112222
•Enter
•You will then be asked if you want to be in standalone mode.
•Press enter for yes.
To make EFTPOS machine integrated again with the pos system.
•Remove the machine from the base.
•Press the function key.
•Type 11112222
•Enter
•You will then be asked if you want to take out of standalone mode.
•Press enter for yes.
