Policy
Kyeema Support Services shall have in place clear guidelines relating to the disposal of surplus items of plant, furniture and equipment.
Intended Outcome
• To ensure that the organisation’s limited storage space is not compromised by the storage of items that no longer have use.
• To ensure probity over the receipt of monies associated with the sale of surplus items
• To ensure that Kyeema Support Services avoids inappropriately disposing of equipment that may if used incorrectly lead to personal injury.
• To protect the facility against legal action in the future.
• To ensure that items may be of use to another department are not prematurely disposed of.
Application
1. Items that are considered redundant or non-repairable by a particular department are to be brought to the attention of the Chief Executive Officer or Management so that arrangements for retention, storage or disposal may be made.
2. Items identified for disposal or storage will then be removed from the area and a register of these items is to be maintained.
• Date disposed of
• Method of disposal (sale, donation to charity, removal to the landfill)
• Details of funds raised from the disposal
• Receipt number issued by administration for the monies paid over
3. When considering whether to sell or dispose of an item, thought must be given to the hazards presented by the items (e.g. electrical hazard) and where appropriate items should not be sold but be rendered inoperative prior to disposal.
4. In the case of computers thought also need to be given to confidentiality issues should there be data still stored on hard drive
