Policy:
Kyeema Support Services Inc. (Kyeema) uses media to disseminate information and raise awareness of issues that relate to Kyeema’s operations and in doing this will strive to be accurate and to enhance the positive image of participants and the organisation.
Social media use shall be consistent with the core values of integrity and professionalism of the organisation and can be used for information sharing, communication and marketing related to the organisation.
The people authorised to deal with the media are the Chairperson of the Board of Management and the Chief Executive Officer and their delegates.
Overview:
Kyeema will aim to maintain control of information that is disseminated to the public by the media.
To maintain consistent messaging and to allow Kyeema to determine what information is presented to and by the media, only the Chief Executive Officer, the Chairperson of the Board and delegates thereof, will speak with any representatives of the media.
Kyeema maintains social media platforms and the CEO delegates trusted employees to maintain Kyeema’s positive profile and that of our participants through pictures and commentary on activities and events.
Procedure:
In the event of a newsworthy happening, Kyeema staff will contact the CEO or the chairperson of the Board and inform them of the details. Staff and Board Members are not authorised to pass comment to any member of the media on issues relating to Kyeema except where delegated to inform the public on events such as Spring Sale or Seawinds Nursery activities.
Approval is required from the CEO or their delegated officer for any articles, interviews or publicity undertaken on Kyeema’s behalf.
Social Media Procedure
The intended purpose behind establishing Kyeema social media sites is to disseminate information, alerts, news and event updates; and general enquiries. In certain circumstances, Kyeema may also use social media to engage directly with the public and its stakeholders. This policy relates to personal social media sites and professional code of conduct.
Kyeema has an overriding interest and expectation in deciding what is “spoken” on behalf of Kyeema on its social media sites.
For purposes of this policy, “social media” is understood to be content created by individuals, using accessible, expandable, and upgradable publishing technologies, through and on the Internet. Examples of social media include Twitter, Facebook, blogs, YouTube and LinkedIn. For purposes of this policy, “comments” include information, articles, pictures, videos or any other form of communicative content posted on a Kyeema social media site.
Use of social media must be consistent with the following:
Integrity: Kyeema staff will not knowingly post incorrect, defamatory or misleading information about their own work, the work of other organisations, or individuals. In addition, they will post in accordance with the organisation's Privacy policy.
Professionalism: Kyeema social media represents the organisation as a whole and should seek to maintain a professional and uniform tone. Staff may, from time to time and as appropriate, post on behalf of Kyeema using its online profiles, but the impression should remain one of a singular organisation rather than a group of individuals.
Kyeema should seek to grow its social media base and use this to engage with existing and potential members, donors and stakeholders. A professional balance must be struck which avoids placing the organisation’s reputation at risk.
Staff should avoid responding to negative comments about the organisation and instead report this to a manager or social media site administrator so that a considered decision is made as to whether to respond.
Information Sharing: Kyeema encourages the sharing and reposting of online information that is relevant, appropriate to its aims and of interest to its members.
No social media sites/pages may be opened under Kyeema’s name without permission from the CEO.
Kyeema staff who infringe Kyeema’s social media guidelines may be subject to disciplinary procedures. Note that all posts on social media should be considered to be in the public domain, regardless of an individual’s privacy settings.
Any publication on social media that identifies and defames, bullies or harasses a participant, a co-worker or the company can be used in disciplinary proceedings.
