To Create the NDIS Bulk Claims from Carelink

1.    Check all the shifts in the required payroll period are approved.

2.    Go to Start Page in Carelink

3.    Click on the triangle to the right of Start Menu (below Start Page) that indicates a drop-down

4.    Select Imports/Exports/Add-ons

5.    Select from the Export section “Export NDIS Bulk Claims”

6.    Select the start date of your Claim and then select the end date of your claim

7.    Choose from the NDIS login name drop box your name

8.    Tick the box for Participant Region – Victoria

9.    Tick the box of all the Departments to be included

10.   Tick the box of the NDIS Provider

11.   Tick the box for each Client name that is to be included

12.   In the Description box, type what the file will be referred to

13.   Then scroll down and click the export data button. This file will be exported to K:\NDIS invoices

14.   In Carelink go to previous exports and print the reference which was just created

15.   With print-out go through names and enter Y in right column of NDIS list file to confirm all uploaded

16.   Go to NDIS invoices, the file would be NDIS (end date) of upload

17.   Rename file to match reference from export

18.   Open file to make any adjustments required example; travel, claims from errors etc.

19.   Save file

 

Upload claims to the Portal.

1.    Log in to NDIS portal

2.    Click on NDIS square

3.    Scroll down and click on payment request

4.    Click on bulk payment request upload

5.    Go to NDIS invoices file select and open file to be uploaded

6.    Widen dates columns and highlight all dates, right click and select format cells. On number tab select date and then select type yyyy/mm/dd. Click okay

7.    Click review, then click protect sheet (enter password 1234) as required

8.    Now save file (including the yes)

9.    In the portal click browse/choose file, select relevant file. Then upload (if an error occurs start troubleshooting)

10.   Repeat steps 5-9 until all files are uploaded

11.   Once all files are uploaded, click on the words ‘payment request’, then click ‘view payment request’

12.   Select view by ‘uploaded bulk payment file’

13.   Select search by ‘duration’

14.   Select today’s dates to find the files, click get files

15.   In file name select relevant file and click search

16.   If error is in file start troubleshooting solution, if file is too big to see all line status click ‘download results’

17.   Repeat steps 12 to 16 until all files are checked

18.   Make copy of errors to claim at later date and put notes in NDIS list as to any alterations.

 

To Retrieve Invoices and Remittance from Portal

1.    Log in to the Portal www.proda.humanservices.gov.au

2.    Click on the NDIS myplace provider portal

3.    Then scroll past the notices at the top of the page

4.    Click on Inbox

5.    Unopened mail will be bold, click the PDF of each one at time of the following “Recipient Invoice” or “Payee Payment Remittance Advice”.  Then at bottom of screen a tool bar will have a printer to print or you can do “CTRL”+P
