Position: Respite House Coordinator
Award and Condition: Kyeema Enterprise Agreement
Responsible to: Supports Manager / Chief Executive Officer
Hours: By arrangement with Supports Manager as dependent upon level of demand
Key Duties
To carry out all tasks required in the provision of short-term accommodation at Kyeema’s respite house.
The aim is for participants to:
- enjoy their short term accommodation stay
- have opportunities for social inclusion and
- gain skills of daily life
Ensure that all Respite House activities are in accordance with:
- Kyeema Policies / Procedures
- Disability Service Standards
- Quality Assurance procedures
- OH&S Regulations
- Financially sustainable rostering practices
Be actively involved in long term planning of the facility
Child Safe Responsibilities
•Kyeema holds a policy of zero tolerance to racism and has expectations that staff and volunteers will act on incidents of racism
•Kyeema has systems to protect children from abuse, will take all allegations very seriously and will respond to them consistently in line with Kyeema’s policies and procedures
•Kyeema is committed to promoting cultural safety of Aboriginal children, cultural safety of children from culturally and/or linguistically diverse backgrounds and to providing a safe environment for children with a disability
•Kyeema is committed to ensuring the acceptance and inclusion of participants' and workers' gender identities
Tasks
Staffing:
§ Maintain responsibility for staff inductions for Ameeyk House
§ Monitor and document on-going staff training needs and inform HR/Training staff
§ Organise, conduct, and document staff meetings
§ Prepare and provide necessary documentation to staff including participant check in and out forms, medication records and treatment sheets, outing reports, morning and night checklists, fire check and evacuation forms and money expenditure forms
§ Roster and monitor staff shifts on Carelink, provide relevant shift notes and ensure staff do not exceed allowable work hours
Quality Assurance:
Ensure Disability Service Standards are communicated to all staff, and that these standards are met or exceeded.
Contribute relevant information during support plans as required
Operational tasks including reporting:
§ Send out booking forms to participants, families, and carers with allocated dates of stays ensuring participants are matched appropriately and within their funding requirements
§ In the event crisis respite is required, liaise with Team Leaders to find a suitable and safe environment for the participant. This may be Ameeyk house or other accommodation within the community
§ Report required Short Term Accommodation data to CEO for Board reporting
§ Maintain and update documentation pertaining to Ameeyk procedures and safety
§ Prepare internal reports as required
§ Ensure support staff complete incident report documentation and participant reports
§ Liaise with therapists and other professionals to ensure all equipment meets participants needs and is continually maintained and services
Other
Be available to work the regular “On –Call” roster
Financial and Budget monitoring
Demonstrate understanding of the way NDIS participant ratios impact rostering and the financial sustainability of short-term accommodation
With assistance from the Supports Manager, monitor expenditure of the Respite House Profit and Loss reports developed by the Finance team, to ensure financial viability.
General
Kyeema Support Services endeavours to be innovative and responsive to changing needs, providing the best service possible for people who have a disability. The flexibility required may impact on the key task areas as listed above. It is the responsibility of the CEO and the Supports Manager to monitor any significant adjustments to duties and to negotiate amendments as required.
Skills and Qualities required for position of Respite Coordinator
The following are a mix of qualities, skills and experience required for the position of Respite Coordinator:
- Commitment to the human rights basis for provision of service.
- A personal commitment to working with people with disabilities and to the Disability Service Standards
- An understanding of the framework of legislative, policy and procedural guidelines that relate to service provisions for people with disabilities, and to the employment of staff.
- Experience of working with people with disabilities
- Good communication skills, both verbal and written
- Experience in the management of staff
- Demonstrated experience in managing stressful situations and situations of conflict.
- Administrative and report writing skills
- Demonstrated ability to work in a team environment
- The capacity to develop positive relationships with participants, staff and organisational stakeholders and to encourage those skills in others
