Position: Supports Manager
Award and Condition: Kyeema Enterprise Agreement
Hours: Full time, some flexibility regarding start and finish times
Responsible to: Chief Executive Officer
Location: 50 Lalor Street, Portland
Objective of Role
The Supports Manager role is a key leadership role at Kyeema, contributing to organisational strategy as part of an Executive Management group and providing leadership in the daily operations of all disability supports other than supported employment.
Key Management Responsibilities
•Ensure management practices and participant support aligns with Kyeema’s vision, mission and values
•Manage, support and supervise team leaders who undertake the day-to-day participant rostering and planning of supports
• Handle any concerns that may arise from employees, participants, carers or families in a manner that adheres to all guidelines
• Maintain responsibility for staff recruitment and inductions, in liaison with other relevant managers and CEO
• Lead and encourage staff members to identify and implement strategies to ensure continuous improvement of services
• Build trust with all stakeholders through high quality work practices while maintaining boundaries and privacy
• Ensure work practices meet the standards of the Occupational Health and Safety Act 2004 and respond to workplace health and safety issues as they arise
• Actively contribute to ongoing monitoring and review of one’s own work practices
• Provide a safe and healthy environment for employees, ensuring regular wellbeing checks are undertaken by the most appropriate people
•Address any concerns that may arise with participants or employees, handling these in a professional manner consistent with HR guidelines, NDIS practice standards and Kyeema’s policies and procedures.
Child Safe Responsibilities
•Kyeema holds a policy of zero tolerance to racism and has expectations that staff and volunteers will act on incidents of racism
•Kyeema has systems to protect children from abuse, will take all allegations very seriously and will respond to them consistently in line with Kyeema’s policies and procedures
•Kyeema is committed to promoting cultural safety of Aboriginal children, cultural safety of children from culturally and/or linguistically diverse backgrounds and to providing a safe environment for children with a disability
•Kyeema is committed to ensuring the acceptance and inclusion of participants' and workers' gender identities
People & Culture
• Maintain a culture that supports high levels of performance and staff engagement
• Assist direct support workers and team leaders to carry out their job by clearly defining roles and responsibilities and in liaison with HR/Training, providing them with adequate resources and training
• Provide guidance and direction to Supports staff through team and individual performance indicators (work plans) and ensure formal appraisals of all staff in the team
• Maintain an appropriate staffing structure for the department.
• Support the development of employees
• Supervise staff, including addressing any performance management concerns in a timely fashion
• Ensure staff appraisals of direct support workers are undertaken
• Lead regular team communication including team leader meetings, staff meetings, email and verbal communication
• Participate where possible in cross-organisation activities or communities of practice that may be of benefit to participant outcomes
• Participate in regular management supervision and strategy meetings with the CEO
• Have input into the development of Kyeema’s training plan, noting specific training needs for staff from your program area.
Quality Assurance
• Understand and comply with all relevant NDIS and DFFH practice standards, ensuring these are communicated to all team leaders and support workers and that they are met
• Understand the reporting responsibilities and procedures regarding in-house incident reporting and reportable incidents to the NDIS Commission and ensure these are complied with
• Understand the reporting responsibilities and procedures regarding Complaints
• Support the effective development and implementation of organisational policies and procedures
• Support OHS practices and procedures.
Reporting
• Report relevant programs, projects and activities to Kyeema’s Management Team meetings via written report to meeting and participate in review of other managers’ activities
• Participate in Board committee meetings if a presentation is requested by the Board
• Complete and revise Add/Edits for QMS when policies, procedures or forms relevant to work area require changing or reviewing
• Ensure that all record-keeping complies with legislation and standards.
Financial
• Monitor expenditure of the departmental budget via regular profit and loss reports from the Finance department
• Prepare funding submissions, where appropriate, for special projects or equipment.
Other
• Oversee input into Kyeema Newsletter and social media of participant activities.
Skills and Qualities required for position of Supports Manager
• Personal qualities of respect and integrity in dealing with participants and colleagues, as one of the key representatives of our organisation
• Ability to relate to people with disabilities, their families, staff and other stakeholders
• Ability to think quickly and provide a hands-on approach in emergency situations
• Key knowledge and understanding of NDIS and Human Services practice standards
• Ability to initiate and maintain contacts with a broad range of people and community organisations
• Organisational skills
• Administrative, report writing and IT skills appropriate to the software used
• Demonstrated ability to work in a team environment.
